    • Zapier Copilot AI assistant for building Zaps, mapping fields and troubleshooting via voice input
    • Tables & Forms Built-in databases and forms at no extra cost on all plans

    Suitable for

    • Small and mid-sized teams that want to automate recurring tasks in marketing, sales, support, IT, HR or finance without their own development capacity
    • Routing and processing leads from forms, emails or CRM actions
    • Embedding AI agents, chatbots or Copilot features into existing operational processes
    • Central data storage and simple forms via Tables and Forms, without an additional tool
    • Less suitable for Less suitable for very complex, branching process logic or very high automation volumes; specialized platforms are worth considering there

    Limitations and notes

    • Very complex process logic Reaches its limits faster than specialized automation platforms such as Make or n8n
    • Many individual Zaps Can become hard to oversee over time. Canvas helps keep an overview
    • Task-based pricing Costs scale with actions, which can get expensive at high volumes
    • Data compliance Sensitive German or EU data needs its own review due to US hosting. Standard contractual clauses are available

    Quick start

    1. Create an account at zapier.com (the free plan with 100 tasks per month is enough for initial tests)
    2. Set up your first Zap, for example a "New response in Typeform" trigger with the action "Create lead in HubSpot and send Slack notification"
    3. Activate the Zap and use Copilot for further automations

    Tips

    • Start with one small, clearly measurable process instead of many parallel Zaps
    • Use Canvas for a visual overview of your entire automation landscape
    • Use clean naming conventions and folders so Zaps stay maintainable
    • Regularly review which Zaps can be consolidated. Fewer Zaps with paths are often cheaper than many small ones
