    Description

    Strengths

    Integration with Workspace
Appointments automatically pick up travel and reservation confirmations from Gmail, dated tasks from Tasks appear on the calendar, and a Meet link can be attached to an event with a single click.
    Built-in appointment booking
A booking page can be set up directly in Calendar, without any additional app or extension. External contacts use it to pick a free slot on their own.
    Multiple calendars at a glance
Work, personal and other calendars can be kept separate and overlaid in a single view.
    Time and focus management
Time Insights show how your time is spread across people and topics. Focus time silences notifications and auto-declines meetings during that period.
    Migration tools
For moving from other systems, including Microsoft and IBM calendar environments, dedicated migration options are available.

    Assessment

    AI features

    • Scheduling suggestions in Gmail Gemini identifies suitable meeting times in Gmail based on email context and the existing calendar, and lets you share time options directly from the email.
    • Adding events from email When Gemini detects event details in an email, the event can be added with the captured details by clicking the "Add to Calendar" button.

    Suitable for

    • Teams and organizations in the Google Workspace ecosystem that need a central, shared calendar
    • Scheduling across time zones with automatic overlay of multiple calendars
    • Simple, customer-facing appointment booking through public booking pages without an additional tool
    • Room and resource management in offices with multiple meeting rooms
    • Automation of appointment workflows through the Calendar API

    Limitations and notes

    • Limited booking logic For multi-step routing, more extensive payment integration or fine-grained availability control, specialized scheduling tools are more mature than the built-in booking page.
    • Not a standalone product in a business context In the Workspace environment, Calendar is not available on its own, but tied to a Google Workspace plan.
    • Advanced booking features are plan-dependent Multiple booking pages, a Stripe payment connection and certain Gemini features are not included in every plan, but reserved for specific Workspace tiers.

    Quick start

    1. Open Google Calendar with your Google account and check which appointments have already been picked up automatically from Gmail and Tasks.
    2. Set your working location and working hours so colleagues can see your availability.
    3. Set up a booking page if needed, so external contacts can pick a free slot on their own.
    4. Create additional calendars for work, personal life or projects and overlay them in the combined view.
    5. Try the Gemini scheduling suggestions in Gmail to add events directly from emails.

    Tips

    • Block focus time on the calendar to silence notifications and have meetings auto-declined during that period.
    • Check Time Insights regularly to see how your time is spread across people and topics.
    • Color-code calendars and switch between light, dark or device default themes to keep the overview clear.
    • Before migrating from Microsoft or IBM calendar systems, check the available Google Workspace migration tools instead of transferring events manually.
