    The Inbox Rulebook

Sorts a full inbox into a fixed rulebook of category, urgency and reply draft, so you keep the final decision while the system handles the triage.

    Description

    Example scenario

A manager returns from a full day workshop to find 25 unread emails. The emails are pasted into the rulebook. It assigns each email to a category, in this example five times action needed, eight times info, seven times delegate and five times archive, prioritizes the action emails by urgency, and drafts a reply for each one.

    Steps

Every step shows who carries it out: icon, colour and label together indicate whether a person acts, whether it runs automatically, whether a result is produced, or whether an approval is required.

    01Person

You paste the unprocessed emails into the chat.

    Skill Text

    # DESCRIPTION
Sorts incoming emails according to a fixed rulebook: category, urgency and reply draft. The assistant does not make the final decision, it prepares the decision. Nothing is sent without approval.

    # INPUT
    - At least one email with sender, subject and content (required)
    - Context on the relationship with the sender (optional)
    - Current priorities of the user (optional)
    - Delegation options: who can take over what? (optional)
    - Time budget for processing emails (optional)

    # OUTPUT
    - Triage overview: sender, subject, category, urgency, recommended action
    - Prioritized action list by urgency
    - Reply draft for every action email
    - Delegation recommendations with forwarding text
    - Short list of emails that can be archived without action

    # CONTEXT
    - Global placeholders: COMPANY, INDUSTRY, TARGET AUDIENCE
    - Skill-specific: the user's role for prioritization, tone of voice, email signature, escalation path
    - Domain knowledge: email management, prioritization methods, business etiquette
    - Constraint: no independent acceptance or rejection on strategic matters
    - If facts are missing (for example the sender relationship or a priority), the assistant explicitly marks its assessment as an assumption instead of presenting it as certain

    # WORKING INSTRUCTIONS

    ## Step 1: Classify emails
Assign each email to a category: action needed, delegate, info or archive. Assess urgency (high, medium, low) based on deadline, relevance of the sender and impact.

    ## Step 2: Build the prioritization
Order action emails by urgency and strategic importance. Customers and superiors before internal requests, deadline-bound emails first.

    ## Step 3: Write reply drafts
Create a suitable draft for every action email. Adapt the tone to the sender and context. Every reply includes a clear next step.

    ## Step 4: Create delegation recommendations
For delegation emails, suggest a recipient and formulate a forwarding text with context.

    ## Step 5: Establish transparency
Briefly state which checks ran in the background (classification, prioritization, drafting, delegation), so it stays traceable how the suggestions were arrived at.

Optional: are there any current priorities or team members you can delegate to?
