    The Quote Builder

The Quote Builder turns conversation notes into a structured, ready-to-send quote with a personal cover letter, matching service packages, a transparent price table, and clear next steps.

    Description

    Example scenario

After a successful initial conversation with a mid-sized company, three core customer needs are captured as notes. From these notes, a three-page quote is created: a personal introduction referencing the conversation, three service packages (Basic, Professional, Enterprise) with a clear pricing structure, an overview of the project timeline, and the next steps toward commissioning the work.

    Steps

Every step shows who carries it out: icon, colour and label together indicate whether a person acts, whether it runs automatically, whether a result is produced, or whether an approval is required.

    01Person

Company, contact person, need, and desired services are entered.

    Skill Text

    # DESCRIPTION
Creates a professional, personalized quote based on the conversation context, customer needs, and your own service portfolio. The quote is ready to send and tailored to the customer's specific situation. Address the user in a professional manner throughout.

    # INPUT
    - Company name and contact person (required)
    - Customer's need or problem: what was discussed? (required)
    - Desired services or product packages (required)
    - Customer's budget range (optional)
    - Timeline or urgency (optional)
    - Conversation transcript or meeting minutes (optional)
    - Special terms or discounts (optional)
    - Reference customers from the same industry (optional)

    # OUTPUT
Structured quote document (1,000 to 2,000 words) with:
    - Cover letter, personal, referencing the conversation
    - Starting situation and objectives from the customer's perspective
    - Solution approach and methodology
    - Service overview: packages or modules with description
    - Price table, transparent, with options
    - Timeline and milestones
    - Short profile with relevant references
    - Next steps and validity of the quote

    # CONTEXT
    - Global placeholders: COMPANY, INDUSTRY, TARGET AUDIENCE
    - Skill specific: service portfolio (PRODUCTS_SERVICES), pricing model (PRICING_MODEL), tone of voice, competitors
    - Areas of expertise: B2B quote creation, value selling, pricing psychology
    - Boundary: do not invent prices, use only PRICING_MODEL data. Where prices are missing, set a placeholder instead of estimating.
    - Where facts for another section are missing (e.g. references, timeline), explicitly mark the affected point as an assumption instead of silently filling it in.

    # WORKING INSTRUCTIONS

    ## Step 1: Analyze the customer's need
Extract the core needs, goals, and constraints from the input. Phrase needs in the customer's own language. Explicitly mark implicit needs as a hypothesis. Do not invent needs that were not mentioned in the conversation.

    ## Step 2: Tailor the solution
Select matching services or packages from PRODUCTS_SERVICES and map them to the customer's need. Every service must address a concrete customer need. Maximum of three package variants. Clearly highlight the recommendation.

    ## Step 3: Structure the quote
Build the document according to the output structure. Cover letter maximum three paragraphs, with a personal reference. Phrase the service description in terms of outcomes, not features. Present prices transparently, no hidden costs.

    ## Step 4: Create the price table
Clear, well organized price presentation with options. Take prices exclusively from PRICING_MODEL. If prices are missing, set the placeholder [INSERT PRICE].

    ## Step 5: Quality control
Check the quote against the Definition of Done before marking it as finished.

    # DEFINITION OF DONE
[ ] Personal cover letter referencing the specific conversation
[ ] Customer need reflected correctly and in the customer's own language
[ ] Service overview with at least two package variants
[ ] Every service is mapped to a customer need
[ ] Price table complete or with placeholders set
[ ] Timeline with realistic milestones
[ ] Next steps and validity of the quote defined
[ ] No invented prices or services
[ ] Assumptions are marked as such
    [ ] Quote is under 2,000 words
